TERMS & CONDITIONS

  • Wild Earth Expeditions Pty Limited, doing business as (d/b/a) Wild Earth Expeditions is a Limited Liability Corporation based in Australia.

  • Please note that all prices are quoted in U.S. dollars and must be paid in U.S. dollars unless otherwise stated. Rates are calculated per person, sharing double occupancy. Single occupancy rates apply. Rates and itineraries are subject to change without notice. See application form, invoice and website www.WildEarthExpeditions.com for what is included and what is not included in your expedition of choice. Please understand that as currencies fluctuate around the world, changes in government tax policies and dramatic fuel cost increases may occur, so it may be necessary to initiate a minor rate surcharge at any time before departure, if there are exceptional increases beyond our control.

  • A deposit along with the signed application form will reserve your space on the expedition of your choice. Please note that Wild Earth Expeditions does not hold your deposit, nor does Wild Earth Expeditions own any of the assets used on your expedition of choice. All guest deposits received are passed on to pay the deposits to secure the expedition, including, but not limited to, hotels, tour operators, yacht charters, ground operators, dive boats and guides.

    All payments to be paid via Flywire (bank wire transfer or credit card) or direct Bank Wire Transfer paid to Wild Earth Expeditions. All remittances to be in U.S. dollars. The amount to be received by Wild Earth Expeditions is to be equivalent to the invoice value. If Wild Earth Expeditions incurs bank fees, they will be added to the final invoice. You will receive an invoice for the deposit amount with payment option links for Flywire and bank details for direct Bank Wire Transfer. The final invoice will outline the balance of the Expedition fare, including any additional extras. Final payment of the remainder is due 180 days prior to the expedition starting date.

    The deposit must be paid in full, and the application form signed and returned to Wild Earth Expeditions (emailed or posted) no later than 14 calendar days after booking to reserve a confirmed space.

  • Notification of cancellation must be received in writing. Once received by Wild Earth Expeditions the following penalties apply: 180 days or more US$1000 per person non-refundable, 180-121 days: 50% of expedition fare, 120 days or less prior to departure date: 100% of expedition fare with no refund. Once the expedition has commenced, no refunds will be given by Wild Earth Expeditions on any unused portions. Costs paid by Wild Earth Expeditions on behalf of a guest that are non-transferable or refundable on cancellation will not be refunded, for example flights booked in your name. The above policy also applies to any expedition extensions and independent travel arrangements made in conjunction with the trip. Since any payments made are passed onto the operators (hotels, tour operators, yacht charters, ground handlers, dive operators, guides), their individual cancellation policies apply. “Trip cancellation and interruption insurance” is highly recommended.

  • All accommodations on all Wild Earth Expeditions trips are based on double occupancy. We only have limited single spaces available on all our expeditions and single occupancy rates apply (roughly 1.6 times the cost of double occupancy). If you are wanting to share accommodations and wish to pay double occupancy rates, Wild Earth Expeditions will try to find a roommate for you (same sex only, unless otherwise agreed). If Wild Earth Expeditions cannot pair you with a roommate, the single supplement rate applies.

  • Wild Earth Expeditions will make every reasonable effort to operate the expedition as advertised, but alterations may occur after the itinerary has been issued, mainly due to changes or cancelled flight schedules, resources becoming unavailable, weather, tides, or to take full advantage of wildlife encounters or cultural events. We will discuss our planned itinerary daily with our local expert guides and will always choose the best available option. Hotel and/or ship accommodations and arranged tours are subject to change or cancellation at any time due to unforeseen circumstances or circumstances beyond Wild Earth Expeditions control. Wild Earth Expeditions reserves the right to change leaders, itineraries, program dates and accommodations as conditions warrant.

    Wild Earth Expeditions reserves the right to cancel a tour or any part of it for any reason whatsoever, to make alterations to the itinerary, or the tour inclusions as it deems necessary or desirable, and to pass on to tour participants any expenditures or losses caused by delays or events beyond its control. If a trip has been cancelled, Wild Earth Expeditions is not responsible for any expenses incurred by participating guests in preparing for the trip, including penalty carrying airline tickets, special clothing, visa or passport fees, or other trip related expenses. Participants are advised to have “Trip cancellation and interruption insurance”.

  • An active travel insurance policy is required. It is a pre-requisite that you make arrangements for comprehensive travel insurance that covers you for medical, air-evacuation and accident. Please be reminded that if it is a watersport orientated trip and scuba diving and snorkelling is involved, it is MANDATORY to carry insurance which covers scuba diving and snorkelling accidents, including the costs for hyperbaric chamber and air evacuation. While most travel insurance policies will cover scuba diving, they often fall short when it comes to air-evacuation and paying for re-compression treatment. We highly recommend DAN Insurance membership (Divers Alert Network).

    We strongly suggest that you purchase comprehensive insurance that also includes Trip cancellation and interruption, COVID-19 cover, luggage and personal effects protection. This insurance will protect you from financial disappointment in the event unforeseen circumstances prevent you from participating in the trip, or for other reasons. Although every possible care is taken to safeguard you and your property, Wild Earth Expeditions accepts no liability for any accidents, injuries, illnesses, or death incurred, or for any loss of, or damage to your property, or for any unforeseen changes or interruptions to the expedition. No credit on any unused portions will be given and the cancellation policy will apply. Check out your travel insurance options with your travel agent or contact us for recommendations.

  • All Wild Earth Expeditions are very active, and participants need to be in good general health and must have a good fitness level. For most activities, a moderate to good level of fitness is required. It is essential that Wild Earth Expeditions is informed of any medical conditions/problems and/or any related dietary restrictions. Individuals with heart disease, chronic illness, physical handicap, advanced pregnancy, or mental illness should not participate in these active expedition programs.

    The Expedition leader has the right to disqualify any tour participant at any time during the expedition if he/she feels that the participant is physically incapable and/or if a participant’s continued participation will jeopardize either the individual involved or the group. There will be no refund given under these circumstances.

  • All participating SCUBA divers must present a valid minimum certification level of PADI Open Water Diver or equivalent other Scuba Diving Agency Certification like CMAS, NAUI, SSI or SDI. We highly recommend that divers are PADI Advanced Open Water Diver certified (or equivalent), as we often dive in remote, unknown, and potentially dangerous dive sites. Some of our expeditions may require an advanced diving skill level. A dive logbook and Certification card must be presented on the trip. Scuba diving is limited to certified divers who complete the provided forms: the “Scuba Diving and Snorkelling Waiver form” and the “PADI Scuba Diving Medical Statement”. If YES is ticked in any of the boxes on the “Scuba Diving Medical Statement” form, it is a requirement that the “Scuba Diving Physicians Clearance” is signed by a practicing medical doctor. Wild Earth Expeditions highly recommends that divers do this medical check-up prior to the expedition and at least once a year. The “Scuba Diving Medical Statement” form and the “Scuba Diving Physicians Clearance” must be current and must be forwarded to Wild Earth Expeditions at least one month prior to the departure date. If participating in another expedition that same year, these 2 documents are valid for 1 year from the date signed by the physician.

    We highly recommend that you conduct at least two open-water dives within 3 months prior to the expedition’s departure. This will assure familiarization with your gear and increase safety standards during your dives in potentially remote areas. The first dive of the expedition will always be a checkout dive. If, in the opinion of the Dive Master and/or Expedition leader, the participant does not appear competent to dive, that participant will not be permitted to scuba dive and will have to snorkel for the remainder of the expedition. Participants are responsible for setting up and caring for their own dive equipment.

  • Wild Earth Expeditions reserves the right to decline to accept any individual as a trip participant for any reason whatsoever.

  • Please note if a minimum number of passengers is not reached, Wild Earth Expeditions may either cancel or adjust an itinerary accordingly. Services may also be modified to accommodate a smaller group. Private boat charters and private lodging, exclusive to our group, may have to be shared with other people if a minimum required guest number is not reached. A smaller group may also only merit one instead of two Wild Earth Expeditions leaders.

  • Specific requests such as adjacent or connecting rooms, bedding requests, smoking or non-smoking rooms and special dietary needs should be advised early. Please note that every effort will be made to secure your request, however, they cannot be guaranteed.

  • Gratuities for hotel and restaurant staff, porterage, dive and boat crew, local guides and drivers are all included for activities outlined in the expedition itinerary. The only gratuities not included are for any activities outside the advertised group itinerary and for your Wild Earth Expeditions leaders, which is up to your discretion.

  • Weight restrictions apply, in particular on small aircraft domestic flights. Details on restrictions will be provided with the Pre-departure documents sent to you 4-6 months prior to the expedition. Baggage and personal effects are at the owner’s risk throughout the expedition. Luggage insurance is highly recommended. Excess luggage fees are at the expense of the participant. We highly recommend soft sided baggage/duffel bags (ideally with wheels) which are easy for storage in vehicles, inside cabins onboard yachts and for transportation.

  • Because of individual needs and preferences around air travel, we will give dates on when and where we will be traveling, so you can book your preferred flights, airline of choice and class of service accordingly. Wild Earth Expeditions does not book international air-travel; however, we are happy to assist and give flight recommendations.

    Any comparative airline website (like google flights, cheapoair.com, expedia.com, kayak.com, tripadvisor.com or others) will give you airline options, prices and you can include multiple flights. Even if you use your local travel agent or go directly through the airline to book, it's a good tool to get you started.

    Flights usually go on sale 11 months prior to your trip date. Booking through a good travel agent means they will be there to assist you with not only the best available schedules and fares, but also to help with complex routings, any schedule changes, seating assignments and any possible delays or cancelled flights. Especially since COVID-19, we highly recommend you book through an agent, who can always keep you informed on specific immigration changes or flight changes. You are responsible for notifying us of any flight changes affecting your arrival/departure times. Make sure you bring the credit card that you purchased your ticket with to the check-in counter, as they may ask for that.

    We will often book domestic group flights for the entire group through our domestic ground handlers, mainly because they are often small aircraft and fill fast, but also to have the immediate support in case of any flight schedule changes or cancelled flights.

  • If you require any assistance with your booking, we are happy to help. We always recommend that you arrive a day or two earlier, so you can acclimatize, get over any jet lag and most importantly, don’t miss the expedition. We can assist with booking extra hotel nights at the starting group hotel (including taxes, breakfast, and airport transfers).

  • All participants must have valid government issued proof of citizenship in the form of a passport (valid for at least 6 months beyond completion of the expedition), in addition to any other requirements of the country of origin and countries to be visited. Your passport name must match the name on your tour reservation and airline ticket, or you may be denied boarding. Entry laws differ with respect to each traveller’s citizenship and especially since COVID-19, may change frequently. Wild Earth Expeditions will not obtain personal travel documents for participants or assume responsibilities for notice of countries current requirements. You are responsible for any expenses incurred because of delays or itinerary changes related to the lack of appropriate travel documents. Make sure you have at least 2 empty pages in your passport for every country you intend to visit on your expedition, for stamps and visas.

  • Wild Earth Expeditions will use photographs and video footage taken on all expeditions for the final slideshow and/or video (given to each participant), for promotional purposes, for image and video footage sales (galleries, stock libraries, post cards and other) and documentary film making. If you prefer that your photo/video not be used for the above-mentioned purposes, please notify your Expedition leader at the start of your trip, or make this request known to us in writing during the booking process.

  • Although Wild Earth Expeditions has reported honestly and accurately about sightings and experiences for all expeditions, we would like to point out that we are working in the wilderness and despite all our good intentions and utmost preparation, Mother Nature may not always cooperate with us. We believe that with good planning and a realistic approach, you will have a successful time witnessing the natural behavior of the wildlife we have set out to see.

  • Wild Earth Expeditions Pty Limited, doing business as Wild Earth Expeditions, its owners, employees, officers, directors, successors, agents, and assigns, does not own or operate any entity which provides goods or services for your trip. It purchases transportation (by aircraft, coach, train, vessel, boat and otherwise), hotel and other lodging accommodations, meals at restaurants, ground handling and other services from various independent suppliers who are not affiliated with Wild Earth Expeditions in any way. All such persons and entities are independent companies and contractors. As a result, Wild Earth Expeditions is not liable for any negligent or wilful act of any such person or entity or any third person. In addition and without limitation Wild Earth Expeditions is not responsible for any injury, financial or physical loss, death, inconvenience, delay or damage to personal property in connection with the provision of any goods or services whether resulting from but not limited to acts of God or force majeure, detention, illness, disease, acts of war, civil unrest, insurrection or revolt, animals, strikes or other labor activities, government restrictions or regulations, criminal or terrorist activities of any kind, annoyance, overbooking or downgrading of services, food poisoning, mechanical or other failure of aircraft or other means of transportation or for failure of any transportation mechanism to arrive or depart on time.

    There are many inherit risks in adventure expedition travel, which can lead to illness, injury or even death. The risks are increased by the fact that these expeditions take place in remote locations, far from medical facilities. Participants assume all such risks associated with participating in this expedition. It is the responsibility of the participant to become informed about the most current travel advisories and warnings referring to the U.S. State Department’s travel website at www.travel.state.gov Non U.S. citizens please consult your local Travel Agent or Consulate for more information. In the event of an active State Department Travel Warning against travel to any specific destination location(s) of the trip, should the participant still choose to travel, notwithstanding any travel advisory or warning, the participant assumes all risk of personal injury, death or property damage that may arise out of the events like those advised or warned against.

    Any payment to Wild Earth Expeditions Pty Limited, d/b/a Wild Earth Expeditions and the signing of the application form constitutes the participant’s acceptance of the Terms & Conditions set out herein and the agreement to be bound by them.
